AIM and NSF travel restrictions.

The information on this page is for people whose travel to a workshop is being covered by AIM/ARCC.

AIM receives funding from the National Science Foundation which has restrictions on travel:

"Any air transportation to, from, between, or within a country other than the U.S. of persons or property, the expense of which will be assisted by NSF funding, must be performed by or under a code-sharing arrangement with a U.S.-flag air carrier if service provided by such a carrier is available. Tickets (or documentation for electronic tickets) must identify the U.S. flag air carrier's designator code and flight number."

Note that code-shared flights must bear the designation of the US-based carrier. This means that your ticket must show the flight code of a US-based carrier, independent of which company actually operates the airplane. Usually this means that you must purchase the ticket from the US-based carrier.

Subject to the above restrictions, AIM can usually reimburse travel expenses up to the cheapest advanced purchase roundtrip airfare to either San Francisco(SFO) or San Jose(SJC) airport. This usually requires purchasing the ticket at least 2 months in advance.

If the cheapest available ticket is less than $450 for travel within North America, or less than $1100 for travel overseas, then participants should purchase their own ticket (cheapest 30-day advanced purchase roundtrip) and send the itinerary to Shaquana Mitchell (quanie@aimath.org). Accommodations will be arranged automatically.

If the cheapest available ticket is above those limits then it may not be possible for AIM/ARCC to reimburse the entire ticket. Please contact Shaquana Mitchell (quanie@aimath.org) with your planned travel dates and she will work with you to determine the options -- in most case AIM/ARCC is able to cover the entire travel cost.

When deciding on travel dates, keep in mind that AIM workshop run 9-5 Monday-Friday, with a full schedule every day. So the arrival day is Sunday, and the departure day is Saturday (or a redeye very late Friday night). If you wish to arrive early or stay late, you will be responsible for the extra nights at the hotel and AIM can arrange for you to have the conference rate.

The maximum reimbursement for ground transportation expenses is $80 at each end of the trip.
